The Building Industry Association of Northern Kentucky (BIA) is seeking an energetic, organized and resourceful Communications & Engagement Coordinator to own organizational communications, coordinate BIA events and meetings, support member engagement, promote the Enzweiler Building Institute and independently move assigned projects from concept through completion.
This position combines communications and relationship skills with event production, research, organization, accuracy, attention to detail and follow-through.
The successful candidate will receive training on established events and processes during the first annual event cycle, then assume increasing independent ownership of communications and event production.
We do not expect the successful candidate to know everything about the building industry when they arrive. We do expect someone who enjoys figuring things out: researching unfamiliar issues, identifying credible information, asking informed questions and determining what needs to happen next.
We are looking for someone who can increasingly be given an outcome rather than a detailed task list and can research, plan, execute, verify, communicate and follow through until the work is complete.
Duties & Responsibilities
Communications & Digital Content
- Create clear, engaging and accurate content for BIA websites, email, newsletters, social media, publications, presentations and other channels.
- Manage BIA's communications calendar across membership, advocacy, workforce development, events and organizational initiatives.
- Maintain BIA websites and digital platforms, proactively identifying and correcting outdated, incomplete or inaccurate information.
- Manage social media content, scheduling and engagement while monitoring performance and opportunities to improve reach.
- Proofread and verify communications for accuracy, including names, dates, links, contact information and event details.
- Support communications related to advocacy, workforce development, membership and other initiatives in coordination with responsible teammates.
Event Production & Coordination
- Coordinate assigned BIA events and meetings from initial planning through final follow-up.
- Maintain event timelines, checklists, calendars, deadlines and recurring processes.
- Coordinate invitations, registration, attendee communications, speakers, venues, vendors, food and beverage, setup, signage, materials and other logistics.
- Maintain accurate registration information and monitor attendance.
- Coordinate with the teammate responsible for sponsorship to ensure sponsor commitments and benefits are fulfilled.
- Prepare event communications and materials; provide on-site coordination and troubleshooting.
- Complete post-event communications, documentation, invoices, records and closeout responsibilities.
- Document recurring event processes during the first annual cycle so future events can be executed efficiently and consistently.
- Identify opportunities to improve event production, attendee experience, efficiency and use of technology.
Member Engagement & Relationships
- Communicate professionally and responsively with BIA members, business leaders, community partners, public officials, speakers, vendors and other stakeholders.
- Communicate BIA programs, events, benefits, advocacy efforts and opportunities for participation.
- Coordinate communications and event execution with the teammate responsible for membership and sponsorship.
- Help improve member participation and the member experience.
- Ensure member questions and requests are addressed or connected to the appropriate teammate rather than left unresolved.
Research & Problem-Solving
- Conduct independent research on building-industry issues, events, member needs, communications opportunities and unfamiliar subjects necessary to complete assigned responsibilities.
- Identify credible sources and distinguish verified information from assumptions.
- Summarize research clearly and, when appropriate, bring recommendations rather than unresolved questions.
- Identify problems, investigate potential solutions and escalate significant issues with relevant information and recommended next steps.
- Learn from previous events, projects and outcomes and apply that knowledge to future work.
Research and independent problem-solving are essential functions of this position.
Project Management, Accuracy & Follow-Through
- Manage multiple projects, events and recurring responsibilities using appropriate organizational and project-management systems.
- Anticipate deadlines, dependencies and potential problems and act before they become urgent.
- Develop and maintain checklists, calendars, procedures and recurring processes that improve efficiency, reduce errors and prevent commitments from being overlooked.
- Personally check work for completeness and accuracy rather than relying on others to routinely catch errors.
- Keep affected teammates informed about project status, decisions, changes, deadlines and unresolved issues.
- Close information loops by ensuring people understand what happened, what happens next, who owns the next action and when an issue is complete.
- Follow commitments through to completion rather than assuming completion of one task means the overall responsibility is finished.
Technology & AI
- Use artificial intelligence and other technology responsibly to improve research, writing, event production, project organization, content development and productivity.
- Identify opportunities to automate or simplify repetitive communications and event-production processes.
- Personally verify AI-assisted work for factual accuracy, quality and appropriateness before use.
- Learn and effectively use BIA's website, email, registration, database, project-management and other technology platforms.
Experience & Qualifications
- Professional experience in communications, marketing, public relations, journalism, event coordination, association management, membership, community engagement or a related field.
- Excellent professional writing, editing and proofreading skills.
- Demonstrated event or project-coordination experience involving multiple details, participants and deadlines.
- Strong research, organization and project-management skills; ability to independently learn unfamiliar subjects and manage multiple priorities.
- High attention to detail and willingness to personally verify work for accuracy.
- Experience managing digital content, including websites, email and social media.
- Strong interpersonal and verbal communication skills with confidence interacting with business professionals and community stakeholders.
- Demonstrated initiative, problem-solving, proactive communication and ability to move work forward without constant direction.
- Comfort using modern business technology and AI tools.
- Experience with content-management, email-marketing, event-registration, social-media and office productivity systems is preferred.
- Graphic design, photography, video or multimedia experience is a plus.
- Bachelor's degree in a related discipline is preferred; equivalent demonstrated professional capability will be considered.
- Building-industry experience is helpful but not required.
Our Core Values
Our core values guide how we hire, work together and evaluate performance:
WINNING — We care about results and meaningful outcomes.
Genuine — We tell the truth and communicate directly.
Persistence — We stay with difficult problems and commitments until they are resolved.
Care — We care personally while maintaining a high standard for our work.
Positivity — We approach challenges constructively and believe problems can be solved.
Trust — We do what we say, respect commitments and earn the confidence of our teammates.
Problem Solvers — We investigate, think, recommend and act rather than simply identifying problems for someone else to solve.
What Success Looks Like
Success means becoming someone teammates can rely upon to own responsibilities from beginning to end.
During the first year, the Coordinator will learn BIA's annual communications and event cycle and capture that knowledge in calendars, checklists, procedures and other systems so the position becomes progressively more self-sufficient.
The Coordinator should increasingly be able to receive an objective, determine what needs to happen, research what they do not know, organize the work, execute accurately, communicate appropriately and follow through until the responsibility is complete.
Research → Plan → Prioritize → Execute → Verify → Communicate → Follow Up → Close
The goal is not simply to complete tasks. The goal is to own outcomes.
