Role: Proposal/Marketing Coordinator
MJA is seeking a collaborative and creative Proposal/Marketing Coordinator. This role pairs proposal work (identifying opportunities, developing submissions, and managing deadlines) with a strong creative component supporting the company's social media, website, newsletter, and marketing materials.

Responsibilities
- Assist with identifying procurement opportunities and supporting the go/no-go decision process
- Attend pre-proposal meetings both virtually and in person
- Prepare proposal submission documents, forms, written content, and graphic design/layout, collaborating with the executive team on proposal development
- Manage proposal deadlines, submissions, and win/loss records
- Maintain the firm’s library of proposal materials, including resumes, project descriptions, and reusable boilerplate
- Support the executive team at conferences and industry events
- Maintain and update the company website, keeping content current, accurate, and on-brand
- Produce the company newsletter for electronic distribution
- Design marketing collateral, including brochures, business cards, capability statements, advertisements, and event materials, ensuring brand consistency
- Manage the company’s social media presence
- Support graphic design needs for marketing communications and for our project management team
- Support digital marketing and digital engagement efforts
Preferred Qualifications & Skills
- Bachelor’s degree in Business, Marketing, Communications, or a related field
- 1–3 years supporting business development and marketing efforts, preferably in the A/E/C (architecture/engineering/construction) industry
- Excellent written and verbal communication skills
- Strong organizational and project management skills, with the ability to manage multiple proposals and tight deadlines simultaneously
- Experienced graphic designer; proficiency with Adobe Creative Suite (InDesign, Photoshop, Illustrator)
- Proficiency with Microsoft Office, Dropbox, and Smartsheet; familiarity with SharePoint
- Experience managing website content (e.g. Wordpress or Squarespace) and email/newsletter platforms (e.g., Mailchimp or Constant Contact)
- Experience with social media, digital marketing, and digital engagement
- Detail oriented with the ability to work both collaboratively and independently
- Familiarity with public-sector or government RFP processes preferred

Work Environment
This is a hybrid role. The candidate will work at either MJA’s NYC office (Lower Manhattan) or New Jersey office (Monmouth County), with flexibility for some remote work. Work location will depend on meeting, event, and proposal schedules, as well as current workload and collaboration needs.
Salary Range
$65,000–$75,000 annually, based on experience.
